Dashboard Guide
The PaymentsAI dashboard gives you visibility into your payments, subscriptions, and disputes, and lets you manage your account settings without any technical knowledge.
Navigation
The top navigation has the following sections, in order: Home, Transactions, Subscriptions, Disputes, Automation Rules, Gateways, Customers, Reports, Blocklists, Settings. The right side shows your organisation switcher and user menu.
Transactions
The Transactions section opens with an overview of four KPI cards:
- Total balance
- Gross volume
- Refunds value
- Processed payments
Below the KPIs, transactions are grouped by tabs: All, Sales, Refunds, Failures — each with a count badge.
Searching and filtering
- Search by customer or customer's email address: free-text search at the top of the list.
- Filters: opens the advanced filter panel.
- Show test data toggle — switches the list between live and test data.
Transactions list
The list shows the following columns:

Transaction detail view
Clicking a transaction opens the detail view, with a Make a refund button in the top-right for eligible transactions.
The detail view is split into Billing details and Customer.
Billing details:

Subscriptions
The Subscriptions section opens with an overview banner — Enable Subscriptions Dunning — that lets you activate automated retries for failed renewals.
KPI cards above the list:

- Trial Conversion Rate
- Canceled Subscriptions
Subscriptions are grouped by tabs: All, Active, Ended — each with a count badge. Search by product, customer, or customer's email address.

Subscription detail view
Clicking a subscription opens the detail view with a Cancel subscription button in the top-right.
Detail fields: Price, Billing cycle, Subscription ID (ord_...), Subscription status, Renewability, Created, Next charge, End time, plus the linked Customer (Name, Email, Origin).
Below the detail block, two sub-sections:
- Subscription transactions: table of every transaction belonging to this subscription.
- Logs: event log for the subscription.
Disputes
The Disputes section lists chargebacks and fraud notifications received on your account.
Disputes are grouped by tabs: All, Response needed, Under review, Forfeited, Won, Lost, Unknown — each with a count badge. Search by Dispute ID at the top of the list.

When there are no disputes, the section shows the empty state No disputes found — No dispute related to Payments AI has been made yet.
Deadlines vary by card network — see Risk and Fraud for the per-network response deadlines.
Important:
Missing a deadline means forfeiting the ability to contest the chargeback. To submit evidence, open the dispute record and upload your supporting documents (invoices, delivery confirmation, communication logs) before the deadline.
Automation Rules
The Automation Rules section is split into two areas using the left sidebar:
- Gateways: gateway routing rules and the backup gateway
- Subscriptions: subscription-related automations (for example, dunning)
Automation Rules require Pro Features — see Pricing and Fees.
Automation rules for gateways
Mutually exclusive:
Gateway Routing and Backup Gateway are mutually exclusive. To avoid routing conflicts, select one — you cannot use both at the same time.
Two rules are available on the Gateways tab:
- Backup gateway: a toggle on/off plus Configure button. Shows the Last update timestamp.
- Gateways Routing: list of routing rules (count starts at 0). Use Add first rule (or Add rule when rules exist).
Configure Backup gateway
Opens with a sidebar summary block and the rule status (for example, Inactive).
Prerequisite:
To use this feature, you must first connect two payment gateways that support card payments. Set them up in the Gateways section.
The configure form has one block — Set default and backup gateway — with two dropdowns:
- Default gateway: the gateway used first
- Backup gateway: the gateway used on the next attempt if the default fails
Actions: Cancel, Save, Save and activate.
Configure Gateways routing
Opens with a sidebar summary block and the rule status (for example, Inactive). Three steps:

Name your Rule — give the rule a unique name (
Rule nameinput). -
Set Condition — filter when this rule should run. Click Add first condition (or Add Condition) to add one. Each condition has three parts:
- Condition field — one of:

Is in - Values: the values the condition matches against
If you don't add any conditions, the rule is always triggered. If conditions do not match, the next rule in line is processed.

Set weight for each Gateway — controls which gateway account is selected.
- Algorithm:
Weighted randomorRound-robin - Weights per gateway: input from 0 to 100 for each connected gateway (for example, Payments AI, Stripe, PayPal, Coinbase, Klarna, NMI). The dashboard shows each gateway's relative share as a bar.

Actions: Cancel, Save, Save and activate.
Automation rules for subscriptions
Subscription automation rules — for example, dunning (automatic retries on failed renewals) — are configured on the Subscriptions tab in the left sidebar.
Gateways
The Gateways tab is where you connect and configure payment gateways for your account. The header notes that the available gateways are selected based on your region, country, and your company's MCC.
Gateways are grouped into a Recommended Gateway card (the PaymentsAI Gateway), and Other Gateways divided into categories such as Card & Wallet and Buy now, pay later.
For each gateway, the dashboard shows the following common fields:

Recommended Gateway: PaymentsAI
The PaymentsAI Gateway is shown at the top as the recommended option. Typical configuration:
- Status:
Connectedonce your account is approved - Additional gateway fee: 0%
- Active Currencies: AUD, CAD, CHF, CZK, DKK, EUR, GBP, HKD, HUF, JPY, NOK, PLN, RON, SEK, SGD, USD (16 currencies on a typical account; the exact set depends on your account configuration)
- Predefined payment gateway: no setup required
The card also lists three platform features:
- Intelligent Payment Routing: contributes up to 12% increase in sales
- Real-time fraud detection: prevents fraudulent transactions
- Automated retries: maximises worldwide customer conversion
Other Gateways
If none of the available gateways suits your needs, use Request a Gateway at the bottom of the section to submit a request.

Customers
The Customers section lists every customer record on your account. The header shows the total customer count, and you can toggle Show test data to switch between live and test customers. A free-text Search and the Filters panel let you narrow the list.

Filters
The Filters panel narrows the customer list by:
- Lifetime Revenue: total amount processed for the customer.
- Country: customer billing country.
- Prim. Payment Instrument: primary payment instrument on the customer record.
- Last Payment: date of the customer's most recent payment.
- Created: date the customer record was created.
- Customer tags: tags set on the customer record.
Each filter defaults to All.
From the customer record you can view attached payment instruments and the transactions or subscriptions belonging to that customer.
Reports
The Reports section has two tabs: PaymentsAI Gateway Reports and Failed Transactions Breakdown.
PaymentsAI Gateway Reports
Export month-by-month CSVs from your gateway. Pick the reports you need and get them as downloads or straight to your email.

Set the date range with the Between picker (top-right of the gateway card).

Under Select reports, tick one or more reports — or click Select all:

Click Download to generate the report. The button is disabled until at least one report is selected.
Failed Transactions Breakdown
Report of all declined transactions for the selected period, grouped by response messages. Shows the total count and share (percentage) for each reason — useful for spotting top failure causes and prioritising fixes.
Set the Between date range, choose the Receive method (Download files or Send to email), then click Download.
Blocklists
Manage entries that block specific payment instruments, customers, or risk attributes from processing on your account.
The section is organised into seven tabs, one per attribute type:
- Emails: block by full email address
- Email Domains: block whole domains
- IP Address: block by IP
- BINs: block specific card BINs
- Customer IDs: block individual customers
- Countries: block by country
- Address: block by address
Each tab has a search box (for example, "Search by full email"), an All items filter dropdown, and an Add item to list button. When a list is empty the dashboard shows No blocklists found.
Settings
The Settings section has a left sidebar — Organization settings — with six sub-sections:
- General: organisation information, business address, website
- Members: team and roles
- Billing: invoices, Pro feature, payment instruments
- Taxes: tax reports, tax locations, TaxJar integration
- System mails: email customisation and recipients
- Logs: system event log
General
Three blocks, each with its own Edit button:

Members
Manage your team and define roles and permissions in one place. Use Add members + in the top-right to invite new members.
Two lists:
- List of access requests: pending invitations or access requests, with a count badge.
- List of organization members: current members. Use the Hide deleted members toggle to filter.

Billing
Shows the upcoming invoice with the next charge date, a progress bar to the billing threshold (for example, 20 000,00 USD), and a list of past invoices with columns AMOUNT, CHARGE DATE, STATUS (for example, Paid).
PRO feature — block with Learn more and Deactivate actions. Pro Features unlock automation rules, advanced tax tools, and other capabilities. See Pricing and Fees — Pro Features.
Billing method — Credit card fee: 3%. The fee policy is described in the linked Terms and Conditions.
Primary payment instrument — Account owner, Address, Bank account number (masked, last 4 digits). Use the Update button to change it.
Backup payment instrument — optional secondary payment instrument. When empty, the dashboard shows: "No backup payment instrument added — Avoid getting your account blocked, in case we can't collect the PaymentsAI services fees from your primary payment instrument."
Bank whitelisting reminder:
The Billing tab includes a reminder to add PaymentsAI as a trusted recipient on your bank account to minimise the risk of failed PaymentsAI fee collections.
Taxes
The tax features below are available to US merchants only and require Pro Features to be enabled. See Business Decision Matrix — Tax Handling.
Tax reports — generate a tax report for a chosen period. Pick Year and Month from dropdowns, choose Accounting method (Cash or Accrual), then click Generate. The generated report is sent to your email.
Tax locations — additional organisation addresses where you may want to collect taxes. Required only if you are not connected to a TaxJar account. Use Add tax location +.
TaxJar Integration — optional integration. Shows current Status (for example, Not connected), API Key, and an Edit button.
System mails
"With our email style tools, you'll be able to customize your emails to fit your brand guidelines. You can add your own logo, change color or typography."
Three tabs:
- Recipients: Main recipient (the email provided at registration; changed under the Account settings link) and Other recipients (configure additional recipients with Add first recipient +).
- Customization: brand styling for emails (logo, colour, typography).
- Notifications: which events trigger an email.
